Arranging for a business meal
I am a new recruit and have been assigned the task of arranging a business meal. I would be grateful if you could provide the needful information as I have no idea about organising a business meal?

Hosting a business meal would require careful preparation as it would reflect the professionalism of both you and your company and will have an impact on your client. Here are some important guidelines that you need to keep in mind when setting up a business meal.

It’s important to consider your guests’ taste and preferences for food. If the guests are foreigners, it’s better to find if they appreciate Indian cuisine. If you are organising a business meal for a group, then choose a restaurant which offers multicuisine so that everyone can find something of his choice. Choose a restaurant you have already visited and enjoyed the food and service.

Location: Choose a place convenient to everyone. It should not take very long for the guests to travel or too complicated to locate.

Invite people well in advance: Remember to give the invitation at least a week in advance and reconfirm it one day before the meeting. If there is a change in programme or place, do inform them to avoid last minute glitch.

Briefing: Do tell them what to expect, the matter that would be discussed and also the material that would be required for discussion. Reserve the table in advance. The impression you make on your business meal companions starts right from the time you arrive at the restaurant. Getting off on the wrong foot – by being late for example – you will have to spend your valuable time trying to recover rather than building a rapport.

Seating arrangements: While choosing the table, make sure the table is not near the kitchen door or the rest room area. The guest of honor should sit on the best seat – preferably the one with its back to the wall. Once the guest of honour seat is decided upon, the host should sit to her left. Consult the guest and plan the menu. Avoid alcohol. While clearing the bill, do not flash your wallet. You could either prepay or use credit cards. Escort the guest out and leave only after making sure that nothing has been left behind.

When someone gives you a compliment, it sounds like flattery. But there are some people who can flatter you without making it sound so. How can we distinguish between them?

Using flattery is an art. Flattery is done in two ways: 1) To compliment excessively and often insincerely to win the favour of the other. 2) To portray someone favourably.

When going about the business of flattering someone, make sure to follow the second one. For eg, When introducing someone you like, using adjectives like supportive, marvellous, dynamic, etc all at the same time will sound like flattery. It will also embarrass the person who is being introduced. On the other hand, when a compliment is given, it should be simple and brief, leaving the other person to feel good. Never compliment for the sake of complimenting or it would lose its value.
